How to use the Sales app

For salespeople who drive routes, take orders, sell from the van, collect cash and chase dues. The app works without internet and syncs when you are back online.

Get the app from your company's customer portal sign-in page (https://<company-code>.b.makewebsmart.com/portal/login) → Download Sales app. Each download link works for 60 minutes; press the button again for a fresh one.

Install & update

  1. On your Android phone, open the download link. If the phone asks, allow your browser to Install unknown apps.
  2. Open the downloaded BM-SalesApp.apk and tap Install.
  3. When a newer version is published, the Home screen shows an Update available banner. Tap Update, download, and install over the existing app.
Never uninstall to update. Uninstalling deletes your session and any orders, payments or notes that have not synced yet. Always install the new version on top of the old one. If you must reinstall, open the app online first and wait until the banner says All changes synced.

Sign-in screen
  1. Company code — the short code of your company (3–20 lowercase letters or digits, e.g. acme). Your admin gives it to you; the app remembers it.
  2. Email or phone — the login your admin created for you.
  3. Password — tap the eye icon to show or hide it.
  4. Tap Sign in.

First sign-in on a new phone

The first time you sign in on a phone, the app shows an Approve this phone card instead of opening. Your company admin approves each phone once:

The card stops checking after 5 minutes — if the phone is approved later, just tap Sign in again. On the demo company, phones are approved automatically.

After the first successful sign-in the app may offer fingerprint / Face ID. Accept it to unlock with your finger next time; you can still tap Use password instead.

If you leave the app open, it locks itself after 15 minutes without use. Unlock with fingerprint or password.

Admin or monitor account? You are asked to Select salesperson first: pick the person you are acting for. The Profile screen shows "Acting as …" and lets you change it.

Change your password

If your admin gave you a temporary password, the app shows Set a new password right after the first sign-in: enter the temporary one, then your own twice.

Moving around

Every screen has one bar at the top. On the five tabs it is the coloured brand bar — on Home it shows your name and, for admin logins, who you are acting as. Inner screens show a flat bar with a back arrow. Help on Profile has quick-start tips, what works offline and this guide; Need help? on the sign-in screen opens this section.

Language — English, Arabic and Bangla. Change it on Profile.
Switching user on a shared phone. If a different person (or a different company) signs in while unsynced data exists, the app warns that the other user's unsynced data will be deleted. Sync first.

What works offline

Home

Home

The bottom bar has five tabs: Home · Manual · Orders · Van · Plan. Home is a set of cards; tap any card to open it:

The Today card at the top runs your working day — start, check-ins, end — see Your working day.

The bell icon opens Notifications (new manual orders, discount approvals). The round button at the bottom right quick-saves your current location to the watch-list — useful when you spot a new shop and have no time to fill in details.

Your working day

Today card

Your company can follow the day on the road: when it started, which vehicle you drove, which shops you visited and what you sold there. Everything below works without signal and syncs later.

Start the day

  1. On Home, tap Start day on the Today card and pick your vehicle. The first time you use a vehicle in a week the app asks for the odometer reading — type the kilometres and take a photo of the meter. A reading lower than the last one needs a note.
  2. If someone else has the same vehicle open, the app warns you (a shared van); you can still continue.
  3. Changed vehicle during the day? Use Switch vehicle or Record odometer from the Today card menu.

On a rest day the card says no working day is expected; you can still start one if you work.

Check in at a shop

  1. Tap Check in at a shop and pick the shop (or a watch-list prospect). The app records your position.
  2. If your company has visit recording switched on, a notice asks you to tell the shop owner first; confirm with I told them — check in and record. Shops that opted out are never recorded, and you can skip recording for one visit with a reason.
  3. Being far from the shop's saved location, an unassigned shop or a fake-GPS app is flagged, never refused — your admin sees the flag.
  4. Orders and payments you take while checked in are linked to the visit automatically (up to 10 minutes after check-out).

Check out

Tap Check out and answer How did the visit go? — Order taken, Collection only, Shop closed, No need / stock full, Refused, Owner absent, Prospect follow-up, Other. When money was taken the outcome is set for you. Checking in at the next shop closes the previous visit by itself.

End the day

Tap End day when you are done. It never blocks orders, payments or expenses; an open visit is checked out at that moment. A forgotten day is closed for you when the next one starts; an admin can also close or reopen a day, with a reason.

My day

My day (Home → Today card menu) shows your day as a timeline: start, visits with their orders and payments, kilometres, the route on a map and any recordings. Use Send to management on a visit you want your admin to look at.

Keep the phone's clock on automatic. Field events use the phone time; a clock that is off by more than 10 minutes is flagged.

Orders

Create an order

New order
  1. Choose the customer type (shop, van or importer) and the customer. For a cash sale to someone who is not a customer, use Walk-in quick order.
  2. Add products: type to search, then set the quantity in cartons or pieces. Prices are the customer's own prices, VAT included.
  3. Optional: a line discount or an order discount (large discounts go to your admin for approval — see below), and a note via Add note.
  4. Either Save as draft (nothing is deducted from stock; you can finish it later) or Confirm.
  5. Confirming shows the invoice preview (bilingual, with the ZATCA QR code). Check it, then confirm again. The order is saved; offline it shows Order saved locally — will sync when online.
Drafts live in the same list with a Draft label. Open one to continue, confirm it, or delete it.

Customers can send informal requests — a note, photos, a voice message or a video — from their app or the web portal. They appear in the Manual tab in four lists: Open pool, Assigned, In review, Converted.

  1. Open a request, play the voice/video, look at the photos.
  2. Tap Claim request to take it. You can also take a photo of the shop or update its GPS position.
  3. Tap Convert to order, add the products and place the order as usual. The order stays linked to the request.

Troubleshooting

ProblemWhat to do
"3–20 lowercase letters/digits" under the company codeType the code exactly as your admin gave it, without spaces or capitals.
"Incorrect email or password"Check the login; ask your admin to reset the password.
"Could not reach the server"Check mobile data or Wi-Fi. If the banner says the server is unreachable, wait a minute and tap SYNC.
Red banner with sync issuesTap it, read the error, then Retry or Dismiss. Ask your admin if the message mentions stock, credit limit or permissions.
"Sync this order before collecting payment"Go online, wait for All changes synced, then collect.
Printer not foundTurn Bluetooth on, pair the printer in the phone settings first, then pick it in Printer settings and print a test page.
Download link shows "403" or "expired"Links last 60 minutes. Go back to the sign-in page and press the download button again.
"Your session has expired"Sign in again; your email is pre-filled.
"Start day" is refused: the day was closed by an adminAsk your admin to reopen that day; you can still take orders and payments meanwhile.
Check-in says "not reached the server yet"You checked in at a prospect saved offline. The app uploads the prospect first and retries by itself — stay online for a moment.
Check-in flagged "far from the shop" or "unassigned"Nothing is blocked; the flag is for your admin. If the shop's pin is wrong, update its location from the customer screen.
