Install & update
- On your Android phone, open the download link. If the phone asks, allow your browser to Install unknown apps.
- Open the downloaded
BM-AdminApp.apkand tap Install. - When a newer version is published, the Home screen shows an Update available banner. Tap Update, download, and install over the existing app.
Sign in
- Company code — your company's short code (3–20 lowercase letters or digits, e.g.
acme). It is the first part of your panel address. The app remembers it. - Email or phone and Password — your panel login. Only accounts with the admin role can use this app.
- Tap Sign in.
First sign-in on a new phone
Admin phones need approval too. The first time you sign in on a phone, the app shows an Approve this phone card instead of opening:
- Approve the phone yourself in the web panel (Devices, or the "devices waiting for OTP" link in the top bar), or ask another admin to. The card shows Waiting for your administrator… and checks every 5 seconds; once approved, the app signs you in by itself.
- Or generate the 6-digit code there (valid 10 minutes), type it in and tap Verify and sign in.
The card stops checking after 5 minutes — if the phone is approved later, just tap Sign in again. On the demo company, phones are approved automatically.
Approving your staff's phones. When a salesperson, customer or monitor signs in on a new phone, the Home screen shows a "… phones are waiting for an OTP" notice. Tap Open (or go to More → Devices) and either choose Approve without a code or tap Generate OTP and read the 6-digit code to the user — it works for 10 minutes, on that phone only.
After the first successful sign-in the app may offer fingerprint / Face ID. The app locks itself after 15 minutes without use.
Working offline
A banner at the top of every screen shows the state: Offline — N changes saved locally, Connected but server is unreachable, Syncing X of Y…, or a green All changes synced. Tap SYNC to force an upload; tap the banner (or the N pending sync row on Home and in the drawer) to open Sync issues and Retry / Dismiss / Retry all.
- The app syncs by itself every 45 seconds while open, whenever you return to it, and right after you save something offline.
- Works offline: create and cancel orders, create and edit expenses, read the last downloaded reports (marked cached).
- Needs internet: everything else — the app says This action requires an internet connection.
Home & navigation
Bottom tabs: Home · Sales · Customers · Inventory · More. The menu icon (top left) opens a drawer that lists every screen, grouped: Overview, Catalog, Customers, Sales, Shipping, Expenses, Inventory, Reports, Admin.
Home shows Sales (this month), Expenses (YTD), Pending manual orders, the pending sync row, and quick links: New Order, New Expense, Products, Warehouse. The person icon at the top right shows your account and Sign out.
Sales
Orders
- All orders of the company. The filter icon opens search, status, payment status, date range, salesperson and archived filters; the title shows how many filters are active. The refresh icon reloads from the server.
- + creates an order: customer or Walk-in quick order, order date and time, items, Apply VAT, a note, and either Save as draft ("Draft orders skip inventory/credit checks until confirmed") or confirm.
- Open an order: Confirm order for drafts, Collect payment, edit lines or record returns, linked manual requests, invoice print/share. Notices show Pending sync or Pending approval.
Manual orders
The inbox of customer requests (note, photos, voice, video). Open one to play the media, Assign it to a salesperson or Convert it to an order yourself.
Sales persons & team calendar
Create and edit salespeople, call or WhatsApp them, set their discount envelope. The Team calendar shows every planned visit across the team.
Customers
- Shops, Vans, Importers — full records: contacts, GPS and map, photos, Arabic name, VAT/CR numbers, credit limit and payment terms, and the customer's login account (create it here so they can use the Orders app or the portal).
- Customer types and Areas — the lookups behind pricing and territories.
- Assignments — which salesperson serves which customer, permanently or temporarily (holiday cover). Territories link areas to salespeople; the Assignment calendar shows temporary covers over time; Unassigned lists customers nobody serves; Assignment audit is the change log.
- SP dashboard — per-salesperson overview.
- Shop map — shops and watch-list pins with filters. Watch-list — prospects found by salespeople: review, reassign, convert. Churn risk — customers who stopped ordering.
Inventory
- Warehouse stock — balances per product. Van stock — per salesperson's van.
- Load van — move products from the warehouse to a van; each line shows Available: N.
- Stock adjust — manual correction with a reason. Damage write-off — remove damaged stock (an approved expense is created automatically).
- Inspections — a physical count against the ledger; completing one posts the variance adjustments.
Reports
Under More → Reports: Sales report (orders and revenue by period), Sales performance (per salesperson: sales, cartons, dues, trend, by item), Profit report (revenue, cost, profit), Expense report (by category) and Expense summary (year-to-date by period). The last downloaded report stays readable offline with a cached notice.
Expenses
More → Expenses: list, + to record one (category, amount, date, vehicle, note, receipt photo), edit, and manage Expense categories and Vehicles. Creating and editing works offline.
Catalog
More → Catalog: Products (name and Arabic name, images, carton size, cost, a price per customer type, tags), Categories, Tags, Brands, Units, Promotions.
Shipping & purchases
More → Shipping: Countries, Suppliers (with VAT and CR numbers), Containers (imports) and Purchases (local buying). Posting a purchase adds the goods to warehouse stock.
Approvals
More → Approvals has two tabs: Discounts requested by salespeople beyond their envelope, and Cancellations of orders older than the day they were created. Each request has Approve and Reject. Salespeople are notified in their app.
Settings, users, printer
- Pricing & VAT settings — VAT rate and pricing options used by the apps.
- Users — staff accounts and roles (admin, salesperson, monitor).
- Printer settings — pair a Bluetooth receipt printer (58 or 80 mm) and print a test page.
- Profile — your account, language, fingerprint unlock, sign out (the app warns if unsynced data exists).
Troubleshooting
